  • How to Book Party Hire

    We've tried to make booking hire extra easy. It can be done entirely on our website within minutes! 1) Head to https://www.villagehallstanton.com/book (or see the links at the bottom of this post). 2) Pick the duration you want. Remember to include time you need for getting ready and packing/cleaning away. 4 and 5-hour hire are our most popular options. 3) Check whether the date you want is available on the booking calendar. If the date or time isn't showing then unfortunately, it's already booked out to someone else. (By all means, look at the weekend before or after too!). 4) Select the date and start time for your hire then click next. 5) We'll take details about you and ask you to agree to leave things tidy etc. 6) Next, you'll pay. You can use debit/credit card or PayPal for this. The hire cost plus a damages deposit is taken (you'll get the deposit back once we've checked you've left everything clean and in good order). 7) Wait for your FORMAL CONFIRMATION email from a real volunteer before sending invites (we like to double-check bookings just in case!). We'll send you emails before the day itself :)

  • Licensable Activity

    We recently made the decision to surrender our Premises License. Here we explain more about why and what that means. What is a Premises License?: A Premises License allows a venue to conduct a range of 'licensable activity' within defined conditions. Licensable activity includes: (a)the sale by retail of alcohol, (b)the supply of alcohol by or on behalf of a club to, or to the order of, a member of the club, (c)the provision of regulated entertainment, and (d)the provision of late night refreshment. (https://www.legislation.gov.uk/ukpga/2003/17/section/1) Why have you surrendered yours?: In recent years there's been some deregulation for village halls meaning that we don't need a license for many aspects of regulated entertainment such as plays and discos (provided they end before a certain time). Working with the District Council, we identified that there's very little activity where this was proving useful. We haven't sold our own alcohol at the Hall for some time which is a primary reason why many premises hold a license (such as pubs). We also considered a license to be a risk to the Charity, as we can face unlimited fines and even imprisonment of our (unpaid) trustees if this license were breached. There have been recent local examples where party-goers have abused other community-run venues and we feel we must protect the Charity and our trustees from this. What now?: We can still permit hirers to undertake licensable activity in our venue. The hirer will need a Temporary Events Notice to do this. The process of gaining a Temporary Events Notice is relatively simple and low cost (involving an online form) - we'll cover that in a moment. 'If you’re organising a temporary event and want to serve or sell alcohol, provide late night refreshment, or put on regulated entertainment (more on that here: https://www.gov.uk/guidance/entertainment-licensing-changes-under-the-live-music-act)) you’ll need to apply for a temporary event notice (TEN)' (https://www.gov.uk/guidance/alcohol-licensing#temporary-events) . You will act as the relevant premises user. Our licensing authority is South Derbyshire District Council and their information on TENS can be found here: https://www.southderbyshire.gov.uk/our-services/licensing/alcohol-and-entertainment/temporary-event-notice If you're putting on just entertainment between 8am and 11pm then this is not generally subject to a TENs (but check the rules yourself) and you'll note there are exemptions for village halls. How do I apply?: You can apply here: https://www.gov.uk/apply-for-a-licence/temporary-event-notice/south-derbyshire/apply-1 You must apply at least 10 days before your event. You must provide proof to us that you've secured this TEN or outline why you consider one isn't needed before your hire session. You should make sure that you have a copy of your TEN at the hire session as laid out in the licensing act.   • Party hire and online bookings are back.

    We've relaunched our online booking function. As a result we've created packages we think will be attractive for your party. You can find more about all of our booking options here: We've had to move to asking for payment up-front for both the hire fee and damages deposit as our volunteers have previously spent far too much time chasing payment and planning for bookings that don't go ahead. It's not fair on their free time and goodwill. Evening parties We're resuming evening parties but with a shortage of community support we're having to engage paid help to help us manage these. With the greater risk arising from evening parties, airing the building afterwards etc, the cost of an evening party is greater than daytime functions. Cancellations We've a generous cancellation policy. Cancellations more than 30 days in advance: Full refund of hire fee and damages deposit less a £5 service charge. Or you can reschedule to another date at no cost. Cancellations 15-30 days in advance: 75% hire fee and full damages deposit returned. Cancellations 2-14 days in advance: 50% hire fee and full damages deposit returned. Cancellations less than 2 days in advance: 0% hire fee refunded but full damages deposit returned. Cancellations we create: Full refund

  • COVID step 4 protocol

    Now that restrictions have lifted, we have updated our risk assessment and include it here. We do ask that all users take a cautious approach at this time and are considerate of more vulnerable users. We recommend the wearing of masks but these are not mandatory. Key Points to note: Masks are recommended but are not mandatory. Maintain good personal hygiene - hand washing and use of sanitiser. All hirers should wipe tables and chairs used at the end of hire as well as other touch points such as door handles. Cleaning products are in the kitchen. We're restricting capacity to 90 but would recommend parties to be of less than 60 people at this time. Adult evening parties are still paused due to volunteer shortages - earlier functions may be possible. Weddings can be discussed. Children's parties can continue to be booked. Risk assessment:

    We're so grateful for the increasing volunteer and gifted time from local businesses over the past months. Maintenance and day-to-day We're asked a lot about how people can help. There are many, many tasks that we'd love support with. Hall wardens: As parties restart and we approach holiday season it would be helpful if we could get some support to open and close the Hall at the weekend. We're flexible as to how wardens and rotas for this might work. Please email us (below) to discuss further. Fundraising: Support to run fundraising activity. Classes: Are you a session leader who could help us run sessions such as sewing or crochet? Our community have told us they'd like to see these type of events. We'd love your input! We've recently won funding to improve the kerb appeal of the Hall.   • Re-Opening - 12th April 2021

    We've been busy preparing the Village Hall for re-opening. This post outlines our COVID risk assessment and is for all users to take note of. These should be read in line with Government guidance and signage that is place outside and inside of the Hall. Please find attached our risk assessment: A communication has gone to all session leaders today to outline these. Please note, session leaders will also have conducted their own risk assessment and are responsible for the safety of their clients/session participants.
